Paying a statement Statements for patient-responsibility balances, treatment-plan stages and employer or membership accounts are emailed by the practice (for example RBS Watervale LLC) and include a secure online payment link. Protected health information is handled by each practice under HIPAA; this website collects no health information. Billing records are kept as required by law. How we use it To schedule and bill visits, process payments, issue statements and receipts, respond to questions and meet tax and record-keeping obligations. We do not sell patient information and we do not send marketing email without consent. Payments Card payments are processed by our payment providers; card details go directly to those providers and are not stored on our systems. Statement payments are processed by Stripe (stripe.com/privacy). Sharing We share billing information only with service providers that help us operate (payment processing, practice-management software, email, accounting), with our parent company Radd Payment Solutions, LLC for billing and bookkeeping, and as required by law. Self-pay You pay the practice's price for the visit or service directly, by card or HSA/FSA card, at the front desk or online when you book. The price is stated before the service. Self-pay is the norm for wellness and longevity services, many IV-therapy visits and elective dental work, and it is an option at primary-care practices for patients without coverage. Memberships and packages Longevity and wellness practices often sell monthly memberships or prepaid packages of visits. The membership agreement states what is included, the monthly fee billed to the card on file, and the notice period to cancel (30 days at our practices). Unused package visits are refunded at the per-visit rate paid if you cancel. Insured visits Where a practice accepts insurance, it verifies eligibility, bills your plan after the visit, and sends you a statement for whatever the plan does not cover: the copay, deductible or coinsurance portion. That statement is the patient-responsibility balance. It is due when you receive it and can be paid online from the link on the statement. Statements Statements come by email from the practice's company (for example RBS Watervale LLC) and show the visit date, the service, what insurance paid if anything, and what you owe, with a secure link to pay by card, HSA/FSA, ACH or bank transfer. Your card statement shows the practice's legal name, not the group or the parent company. Here is how to read it and what to do if something looks wrong. Why the RBS name Each practice is operated through its own company, and that company's name is what the card network prints. The clinic's sign or brand does not appear on the statement, and neither does the group (RBS Med) or our parent company, Radd Payment Solutions. Matching it to your visit The amount matches your receipt from the front desk, your online booking payment, or your statement for a patient-responsibility balance. Receipts are emailed automatically for online and statement payments; ask the front desk for an itemized receipt for in-person payments. HSA and FSA administrators generally accept these receipts as substantiation. Recurring charges If you have a membership, the monthly fee posts to the card on file on the same day each month under the practice's name. Cancelling requires 30 days' notice; the current month is not refunded once it has started. If it does not look right Contact us before disputing with your bank. We can match any charge to its visit, booking or statement, usually the same day, and correct it if needed. Implant and restorative work happens in stages over months, so it is priced and paid in stages too. Here is the structure used at the dental practice in the group. The written treatment plan After the exam and imaging you receive a treatment plan that lists each procedure, the fee for each, the sequence and approximate timing, and what is and is not included (for example sedation, temporaries, or lab work). The plan is the price; anything added later is written up and approved by you before it is done. Deposit and stages Deposit when you accept the plan, which schedules the first procedure and covers lab work that is ordered up front. Stage payments as each phase is completed: for example placement, then restoration. Each stage is invoiced with the procedure codes and the amount. Balance at the final appointment. Insurance and financing Where a plan covers part of the work, the practice files the claim and your statement shows the remaining balance. Third-party patient financing is available for larger plans; the financing company pays the practice and you pay the financing company on its terms. If plans change Deposits and prepaid amounts are refundable less work already performed and lab work already ordered. Stage payments for completed stages are not refundable; workmanship problems are corrected under the practice's warranty at no charge for labor.
